Privacy Policy

Fluid provides tasks, notes, calendars and optional device utilities on iPhone, iPad and Mac. This policy covers the Fluid app and tryfluid.co. We do not sell personal data, run advertising or use tracking or analytics SDKs in the app or website.

Account and content

Sign in with Apple provides your account identifier, your email address or Apple private relay address, and your name if you choose to provide it. We store these with your Fluid username and preferences to operate your account. Administrator-provisioned accounts can also sign in with an email address and password; Supabase securely verifies the password. Public email registration is not available.

Fluid stores your tasks, jots, categories, attached images and PDFs, calendar events, reminders settings, sharing membership and edits to shared notes. Event locations you choose can include a place name and precise map coordinates. These locations sync with the event; Fluid does not continuously collect your device location.

Shared jots

Sharing by username gives the recipient access to the same live jot, its attachment and subsequent edits. Members can see the usernames involved and edit shared text. The owner can remove members; a member can leave. Sharing does not disclose your email address or grant access to the rest of your account. Removing access stops future server access, but cannot recall exports, screenshots or copies someone already made, and an offline device may retain cached content until it reconnects.

Apple integrations and permissions

With your permission, Apple Reminders and Calendar integrations read supported reminders and events on your device, copy them into your Fluid account for cross-device sync, and write changes back. Calendar imports cover a limited date window. Disabling an integration stops future sync; it does not automatically remove already imported content or copies in Apple apps. Fluid does not receive your Apple password.

Location permission is used to bias Apple Maps place suggestions. Searches are handled by Apple's Maps services under Apple's privacy policy. A place you explicitly save, including its coordinates, becomes part of your synced event.

Local features

Optional Mac dictation records the microphone only when you start it. FluidAudio, SenseVoiceSmall and WhisperKit transcribe audio locally while you speak. Audio is held in memory for the current dictation and is not uploaded or saved as a recording. The last five transcripts are saved in Fluid's encrypted local clipboard history for recovery, including when insertion fails. They survive restarts and remain until replaced or explicitly deleted; pinned copies remain until removed. This recovery works without enabling general clipboard recording. A recent transcript also remains in memory for manual copying. Text is inserted into your chosen application, whose own storage and privacy settings then apply. For up to 45 seconds after a confirmed insertion, Fluid can observe changes to just the inserted text in the same focused, non-protected field. Small, repeated spelling corrections teach a local vocabulary; unrelated typing and document text are not collected for learning. Learned spellings are encrypted locally and can be inspected or forgotten in Dictation settings. Dictation preferences and manually entered vocabulary remain on this Mac. Downloading offline models contacts Hugging Face and its download providers, which receive your IP address and ordinary request information; these requests do not contain your dictation.

Gist selects sentences and stores your corrections on the device. It does not send note text to an AI provider. Inserting a gist into a jot makes it part of that jot and its normal sync and sharing.

Optional Mac clipboard history stores captured formats, source app information and previews in encrypted local storage using a Keychain key. Ordinary unpinned copies are limited to 100 items and five days; the five dictation recovery entries have the separate retention described above, and pinboards remain until removed. Known password-manager sources and content marked confidential or temporary are excluded from automatic clipboard capture. Visible link cards contact the referenced websites to retrieve titles and images, so those sites can receive your IP address and ordinary request information. Clipboard content is not uploaded to Fluid or synced.

Optional Mac Capture takes screenshots and screen recordings only when you ask. Captures are saved as files in the folder you choose on this Mac and listed in clipboard history for five days (up to 100 captures) unless you pin them. Text recognition, QR code reading and optional transcription of recordings run on this Mac. Captures are not uploaded unless you add one to a jot or task, which then syncs like any other attachment.

The optional Mac Dock, window switcher and display controls use local app, window, file, display and media information. Accessibility enables window actions and shortcuts; Screen Recording enables window previews; Automation allows confirmed Finder actions. Local settings, file references, window layouts, display sensor readings and display scheduling coordinates are not sent to Fluid. The iPad Dock stores imported files, text and drawings on that device using Apple's file protection. These utilities are independent of your Fluid account and their data is not removed by signing out or deleting that account.

Storage and security

Account data is hosted by Supabase in Australia. Supabase encrypts its storage at rest and connections use HTTPS/TLS. Access controls restrict content to its owner and authorized sharing members. This is not end-to-end encryption: Fluid's backend processes content to provide sync and collaboration.

The app encrypts its offline account cache, cached jot attachments, shared-edit recovery files and saved Gist content with an app Keychain key. Older caches are migrated as they are read. Widgets, notifications, Live Activities and Spotlight can show selected task, note and event content using Apple's system storage and protection. Your device settings control their visibility. Explicit exports create temporary readable files for the destination you choose; Fluid clears its temporary export folder on the next launch or sign-out. Exported copies and device backups remain under your control and the destination's policies.

Website and service requests

The website serves its own fonts and assets and has no advertising pixels or analytics scripts. Vercel hosts it; Supabase operates app infrastructure. These providers may process IP addresses, request times, browser or device information and operational logs to deliver, secure and troubleshoot requests. Download and App Store links take you to GitHub or Apple, whose own privacy policies apply. Contacting support shares the information you include in your email. We do not use this information for advertising or cross-service tracking.

Notifications

Task and event notifications are scheduled locally with Apple's notification system. Fluid does not send them through a remote push service. Content may appear on the lock screen according to your notification settings. Scheduling is refreshed while the app runs; system limits and device settings affect delivery.

Retention and your choices

You can edit or delete your content, leave shared jots, disconnect integrations and revoke system permissions. Signing out clears the active account from the interface, notifications, widgets and Spotlight; encrypted offline account data and unsynced changes remain on that device so you can resume when you sign in again.

Settings → Delete account requires an online connection and fresh Apple authorization, or password confirmation for an email-only account. Once successful, it removes your account and account-owned content and attachments from the active service, revokes Apple authorization where applicable, and clears the active account cache on that device. Other devices learn of deletion when they reconnect. Edits already contributed to someone else's jot, copies exported by others, independent local utilities and device backups may remain. Operational backups and logs follow the hosting providers' retention and security processes; they are not promised to disappear instantly.

Children, changes and contact

Fluid is not directed to children under 13 or the applicable minimum age where they live. Material changes to this policy will be identified by a new date in the app and on the website. For privacy questions, access, correction or deletion requests, contact fluidproductivity@gmail.com.
